Automation with S4/Hana Situation Handling

Use case: Proactive Error Monitoring on Automatic Billing

In today’s fast-paced business world, addressing operational issues quickly is essential. SAP Situation Handling offers a proactive way to manage business exceptions, helping companies detect and resolve problems more efficiently before they escalate.

What is SAP situation Handling ?

SAP Situation Handling, introduced in SAP S/4HANA in 2020, is designed to proactively notify users about specific, critical business situations that require their attention. By doing so, it enhances operational efficiency and ensures timely decision-making in response to key events.

Since its release, SAP has expanded the functionality by adding new templates and improving compatibility with various business processes and objects, such as sales, procurement, and inventory management.

Situation Handling enables organizations to:

  1. Identify Exceptions: Automatically detect situations that deviate from standard business operations, such as contracts approaching expiry or overdue orders.
  2. Trigger Notifications: Send personalized alerts to the relevant stakeholders, ensuring they are informed of the issue.
  3. List Exceptions for Action: Provide a list of situations requiring attention to the appropriate users, enabling them to take the necessary actions to resolve the issue.

Although it is quite an interesting functionality, it sometimes tends to go unnoticed. This is unfortunate, as it is relatively easy to implement and can bring significant value.

We therefore want to shine a light on this functionality through this article, using a simple yet highly relevant case of posting errors in a billing document.

Use case : Billing document not posted

To demonstrate the capabilities of Situation Handling, we will use the “Billing Documents Not Posted” situation template (ID: SD_BILLING_DOCUMENT_NOT_POSTED). A list of available templates and use cases can be found on the SAP Help Portal.

We selected this specific case because, in many companies using SAP ERP, the creation of billing documents is often automated through periodic batch jobs. However, the challenge with this practice is that, if an error occurs during posting to accounting, users are not automatically notified.

To verify whether all documents were posted, users typically have to check the job log after each run or execute transaction z to generate a list of documents that have not yet been posted to accounting. Both actions are manual and must be performed periodically. Alternatively, it was possible to run app List Blocked Billing Document (or transaction code VFX3) through another batch job and send the job log to relevant users, providing them with a list of billing documents not yet posted. However, the PDF format of the log was less than ideal, and while this approach was the closest to an automated solution, it still required manual intervention.

To address these challenges, we will use SAP Situation Handling to provide an automated solution. With Situation Handling, instead of relying on manual checks, the system will automatically detect billing documents that have not been posted to accounting.

When the process runs, it will identify unposted documents and trigger notifications and emails to relevant users.

Configuration

Situations can be configured and enabled in the “Manage Situation Types” app (F2947). Within this app, you can search for situation templates. To enable a situation, you first need to copy the relevant template.

The first step is to assign a unique name to your situation. You can also define the display sequence, which determines the order in which situations appear in the in-app situation messages.

Notifications can be customized to include additional information. By default, they include the billing document number, but other variables, such as the type of issue causing the posting error, can be added. Variables can be easily included using the “Insert Variables” button.

You can set conditions to trigger the situation. This allows you to create multiple instances of situations based on the same template but with different notifications and responsible teams. For example, you might configure one situation for issues related to invoices and another for credit memos, with notifications sent to different users with different responsibilities.

Finally, we define the recipients for the notifications and emails. Please note that you can’t just assign individual users to situations. Assignment is done by team categories, then users can be filtered further by responsibility or function. Teams can be defined in the “Manage Teams and Responsibilities” app (F2412):

Result

After creating a billing document with a wrong G/L account determination, the posting fell in error, resulting in a notification sent to all the users that have the billing clerk function in the Billing team. When clicking on this notification, the user is directly taken to the billing document so he can correct the issue.

Additionally to the notifications, users can visit the “My situations” app, which stores all the situations that were raised for the users team and that still need to be corrected.

Further Customization possibilities

In this article, we primarily explored the standard framework of Situation Handling, focusing on using and copying standard situation templates. However, the possibilities are not limited to these templates.

The concept of key user extensibility also applies to Situation Handling. Specific apps are available to create custom situation objects and scenarios, which can then be managed in the Manage Situation Types – Extended app (F5437).

Limitations of situation handling

Although a powerful tool, Situation Handling has limitations that must be considered before implementation.

First, Situation Handling can operate either based on business events or periodic batch runs. This means that the detection of situations may sometimes be delayed compared to when the action was performed.

Additionally, there is a predefined limit on the number of situations that can be processed. If the number of situations exceeds this limit, some may not be displayed to the user.

Overall, SAP recommends not using Situation Handling for “Time-critical, life-critical, or security-relevant use cases”.

Conclusion

SAP Situation Handling is a practical and efficient way to tackle operational issues by automating the detection of exceptions and notifying the right people at the right time. It simplifies processes that would otherwise require manual intervention and helps ensure issues are addressed promptly.

While it’s not without its limitations, the functionality offers enough flexibility through standard templates and customization options to adapt to various business needs. By integrating Situation Handling into their operations, companies can improve efficiency and free up teams to focus on resolving issues rather than identifying them.

When used thoughtfully, this tool can be a great addition to your SAP environment, making daily operations smoother and more reliable.
